1. Who we are
This website, fencecalculator.co.uk (the "Site"), is run by CI Media Ltd, a company registered in England and Wales (company number 10202404) with its registered office at 23 Hermitage Drive, Holmes Chapel, Crewe, CW4 7NP ("we", "us", "our").
We are the "controller" of the personal data described in this policy, which means we decide how and why it is used.
You can contact us about privacy at admin@cimedialtd.com or by post at the address above.
2. What this Site does
The Site is a free fence calculator. You can use the calculator without giving us any personal information. If you want quotes from local fencers, you can choose to send us your details through our quote form.
3. The personal data we collect
| When | What we collect |
|---|---|
| You use the calculator | The measurements and options you enter (such as length, height and style). These are held in your browser and in the page address so you can share or bookmark your result. We do not link them to you unless you send us the quote form. |
| You send the quote form | Your name, email address, phone number (optional), postcode, when you want the work done, any notes you add, a summary of your calculation, the date and time, the wording you agreed to, and the page you submitted from. |
| You join the waiting list | The same details as the quote form, when your postcode is outside the areas we currently cover. |
| You contact us | Your name, email address and the content of your message. |
| You visit the Site | Technical data such as your IP address, browser and device type, pages visited and referring page, collected by our hosting provider and, if you accept analytics cookies, by our analytics tools. |
We do not knowingly collect any special category data (such as health information) and ask you not to include it in the notes field.
4. How and why we use your data
| Purpose | Lawful basis (UK GDPR) |
|---|---|
| To pass your quote request to fencing companies in your area so they can contact you about your job | Your consent (Article 6(1)(a)). You give this by ticking the consent box on the form. You can withdraw it at any time. |
| To add you to a waiting list and tell you when we cover your area | Your consent (Article 6(1)(a)). |
| To reply to your messages | Our legitimate interests in answering enquiries (Article 6(1)(f)). |
| To keep the Site secure and stop spam and abuse, including our spam checks on the quote form | Our legitimate interests in protecting the Site (Article 6(1)(f)). |
| To understand how the Site is used and improve it, using analytics cookies | Your consent (Article 6(1)(a)), given through our cookie banner. |
| To keep records we must keep by law, such as accounting records | Legal obligation (Article 6(1)(c)). |
We do not make decisions about you using automated processing that has legal or similarly significant effects.
5. Who we share your data with
Fencing companies. If you send the quote form and your postcode is in an area we cover, we share your name, contact details, postcode, timing, notes and job summary with one or more fencing companies that we have agreed to work with in your area. They become responsible for how they use your details after we pass them on, and they should contact you only about your quote request. We currently pass leads on by hand.
Service providers (processors). We use trusted providers who handle data on our behalf and only on our instructions:
- Netlify, Inc. – website hosting and form handling.
- Airtable – storing and managing leads.
- Cloudflare, Inc. (Turnstile) – spam protection on the quote form.
- Email provider – sending notifications and replies.
If you accept analytics cookies: Google LLC (Google Analytics and Search Console) and Clicky / Roxr Software Ltd – website analytics.
We may also share data where the law requires it, or with professional advisers and, if our business is sold or restructured, with the new owner (who must use it as set out in this policy). We do not sell your personal data.
6. Cookies and similar technologies
We use strictly necessary storage to make the Site work, such as remembering your cookie choice. This does not need your consent.
We only set analytics cookies if you click "Accept" on our cookie banner. They help us count visits and see which pages and features are used. If you click "Reject", we do not load analytics. You can change your mind by clearing this Site's data in your browser, which makes the banner appear again.
| Provider | Purpose | Typical lifetime |
|---|---|---|
| Google Analytics | Anonymous usage statistics | Up to 2 years |
| Clicky | Anonymous usage statistics | Up to 2 years |
7. Affiliate links
Some links on the Site go to merchants, and we may earn a commission if you buy from them, at no extra cost to you. Merchants may set their own cookies when you follow these links. Please see their privacy policies for details.
8. International transfers
Some of our providers are based outside the UK, for example in the United States. Where we transfer personal data outside the UK, we make sure there is a lawful transfer mechanism in place, such as the UK's adequacy regulations, the UK International Data Transfer Agreement or Addendum, or the UK-US data bridge where the provider is certified.
9. How long we keep your data
- Quote requests: 12 months from the date you send the form, then deleted or anonymised.
- Waiting list details: until we contact you about your area, or until you ask us to remove them.
- Messages to us: 12 months after the conversation ends.
- Analytics data: 16 months, unless you withdraw consent earlier.
- Accounting records: 6 years, as required by law.
10. Keeping your data secure
We use appropriate technical and organisational measures to protect your data, including encrypted connections (HTTPS), access controls and choosing reputable providers. No system is completely secure, so we cannot guarantee the security of data sent over the internet.
11. Your rights
Under UK data protection law you have the right to:
- be told how your data is used (this policy);
- access a copy of your data;
- have inaccurate data corrected;
- have your data erased in certain circumstances;
- restrict or object to some uses of your data;
- receive your data in a portable format where we use it on the basis of consent or a contract; and
- withdraw your consent at any time. This does not affect anything we did before you withdrew it.
To use any of these rights, email admin@cimedialtd.com. We will normally reply within one month. If you withdraw consent after we have passed your details to a fencing company, we will tell them to stop using it where we can, but you should also ask them directly.
12. Complaints
We would like the chance to put things right, so please contact us first. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
13. Children
The Site is not aimed at people under 18, and we do not knowingly collect their data. If you think a child has sent us personal data, please contact us and we will delete it.
14. Links to other sites
The Site links to other websites. We are not responsible for their content or privacy practices.
15. Changes to this policy
We may update this policy from time to time. The "last updated" date at the top shows when it last changed. If we make a significant change, we will tell you on the Site.
